How automation works in Alba

Running an indoor golf venue involves dozens of small follow-ups, reminders, payments, access details and handovers. Alba connects those steps, so that your venue runs automatically once a booking is made.

Automation starts with the booking

Automation starts with the booking

In Alba, automation begins the moment a customer books. The booking creates more than a reserved time in the calendar. It can trigger confirmations, reminders, access details, payment handling, simulator control and customer notifications.

For the venue owner, this removes a lot of the small manual work that usually happens around each session. Customers know when to arrive, how to pay, how to get in and what to expect, without you needing to follow up every time.

Customers get the right information automatically

Customers get the right information automatically

Once a booking is confirmed, Alba sends the customer a confirmation. Before the session, they receive a reminder with the details they need to arrive prepared.

If your venue uses access control, the link to unlock the door is included automatically. If the customer changes or cancels a booking, Alba can help keep the communication and refund handling connected to the booking.

Customers should not need to wonder what happens next. Alba keeps them informed at the right time.

Notifications for you and your team

Notifications for you and your team

Alba also keeps the venue side informed. You and your team can receive alerts for the things that matter, from new bookings and cancellations to membership purchases and renewals.

That means you do not need to watch the system all day to know what is happening. The right activity can reach the right person automatically.

Access control without manual unlocks

Access control without manual unlocks

Access control is one of the clearest ways automation saves time. When a customer books, Alba sends the link to unlock the door automatically. When they arrive, they open the door from their phone.

Alba integrates with Zesec, Kisi, Glutz, OpenPath, Unloc, TTLock, Seam, Entro, UniFi, Kulku and Keyfree, each connected through the vendor's secure API. Custom integrations can be arranged if needed.

SimLock keeps bays connected to the calendar

SimLock brings the same automation to the simulator bay itself. Unbooked bays stay locked behind a branded kiosk screen, while booked sessions unlock automatically when the time starts.

When the session ends, the bay locks again. Players can get a handover warning before the session ends, and if more time is available, they can extend their session directly from the SimLock screen.

Walk-ins can also scan a QR code on the kiosk screen, book an available slot and start playing without needing to find anyone.

For the venue owner, SimLock helps protect simulator time. Bay access follows the live booking calendar, so unbooked time is not quietly used without being paid for.

Payments, refunds and changes stay connected

Automation also matters when money is involved.

When bookings are changed or cancelled, refund handling can stay connected to the booking instead of becoming a separate admin task.

This keeps the financial side cleaner. The booking, payment, change history and customer communication all stay tied together.

More control, less manual work

More control, less manual work

"Your venue on autopilot" means Alba is built to save you time: less time on repetitive tasks, customer follow-up, access details, booking changes and manual checks.

You decide how much automation you want and set the rules for bookings, access, reminders, grace periods and operations. Alba handles the follow-through, so your venue runs more cleanly without giving up control.
