Events let you manage sign-ups, group activities, leagues, lessons, and private bookings with ease. An event can reserve simulators, collect participant sign-ups, and handle payments, all in one flow.
Creating an Event
Events are created the same way as a normal booking.
- Go to Bookings in the admin panel
- Click the calendar and select the time period you want to reserve
- A drawer opens with the event settings
Event Settings Explained
Date
The day the event takes place. This is based on the date you selected in the calendar.
Start time and end time
Defines exactly when the event starts and ends.
These times also control:
- When simulators are reserved
- When door access becomes active, if enabled at the location
Recurring events
Enable Recurring to automatically repeat the event on a fixed schedule.
Useful for:
- Weekly leagues
- Group training sessions
- Regular club nights
You choose how often the event repeats, for example weekly or biweekly.
Title
The name of the event.
This is visible to customers and should clearly describe what the event is.
Examples:
- Winter League Round 3
- Beginner Group Lesson
- Corporate Simulator Event
Description
Free text field shown to customers.
Use this to explain:
- What the event includes
- Who it is for
- Rules or format
- What participants should bring or expect
Private event
When enabled, the event is hidden from customer-facing pages.
Only people with the direct event link can access it.
Common use cases:
- Corporate bookings
- Private group events
- Closed member sessions
Price per participant
Sets the price each participant pays to join the event.
- Set to 0 for free events
- Payment is handled the same way as regular bookings
- Payment links also work for event participants
Maximum number of participants
Controls how many participants can sign up.
Once the limit is reached:
- The event is marked as full
- No additional sign-ups are allowed
Resources (simulators)
Choose which simulators are reserved for the event.
- Selected bays will be blocked for the full event duration
- Leave empty if the event does not require simulator time
Member-only events
You can restrict access to specific membership groups.
Only customers with an eligible membership will be able to register.
This is useful for:
- Member tournaments
- Club-only events
- Included activities for premium members
Cover images
Upload up to five cover images.
These are shown on the event page and help promote the event visually.
Current Limitations
At the moment, events do not support a registration deadline.
This means:
- Customers can sign up all the way until the event start time
We have this noted as a planned improvement and intend to add registration deadlines in a future update.
