How customer import works

How customer import works

Customer import is for customers who need a membership, a value card or balance, or a note moved into Alba. It is not meant for bringing over a complete customer list.

You can import a list of customers who should get a membership or a value card, for example when moving from another system. Go to Customers, then Import customers.

Prepare your file

Use an Excel or CSV file with one row per customer. Each row needs:

  • Email or phone number (at least one), so Alba can recognise the customer.
  • At least one of: a membership (the name must match one of your memberships), a value card amount, or a comment.

Other columns you can use: first name, last name, and for value cards an expiry day, month and year. The column headings can be in English or Norwegian.

What happens when you import

Customers do not get the membership right away. They are saved as waiting, and the membership or value card is created when the customer signs in or creates an Alba account with the same email or phone number. You can see who is still waiting on the import page.

  • One-time (seasonal) memberships are given when the customer activates. Recurring memberships can’t be given by import, because they are tied to the customer’s own payment.
  • Value cards are created at the same moment. If you give an expiry date, it must be complete (day, month and year), a real date, and in the future. Otherwise the card is valid for 365 days from when the customer activates. If the date passes before the customer activates, the card is created already expired.
  • Comments are saved as an internal note on the customer, visible only to you.

Good to know

  • The match works with email regardless of capital letters.
  • Rows without an email or phone number, or without a membership, value card or comment, are listed as problems and are not imported.
  • If you import by mistake, you can clear the customers who have not activated yet.
