You can give your team access to Alba and control what each person sees and does. Roles range from full account control to read-only financial access, and you can scope them to a single venue or across your whole account.
Where to find it
Go to Settings, then User roles. This is where you add people, assign roles, and change or remove access.
Adding someone
- The person needs an Alba account already, registered with the email you will add. If they do not have one, they can sign up from your booking page first.
- Select Invite user, enter their email, and choose a role.
- For roles tied to a single venue, pick the location, then save.
The roles
- Account Owner: Full control over the entire account, including all locations, user management, billing and legal. There is only one per account.
- Account Admin: Broad access across every location for settings, users, bookings and reports. Cannot sign merchant agreements.
- Location Admin: Full control over an assigned venue: simulators, staff, bookings, pricing and reports.
- Location Staff: Day-to-day work at a venue: bookings, customers and check-ins.
- Location Accountant: Read-only financial access at a venue: revenue stats, settlements, invoices and payment reports.
- Event Manager: Manages events and participants at one assigned venue, without access to bookings, customers, products, stats, economy, settings, or the admin calendar.
Instructor and Instructor Admin roles work a little differently and are covered in How admins set up instructors.
Event Manager in more detail
Use this role when someone should run leagues, clinics, or private events at one venue but should not see the rest of the back office.
- After login they land on that venue's upcoming events list.
- In the admin menu they only see Events (upcoming, historical, and individual event pages).
- They can create and edit events, add participants, mark participants as paid, and cancel sign-ups on a customer's behalf.
- They can create, resend, and cancel payment links for event participants. They cannot create or manage payment links for simulator bookings.
- They can look up a customer by email or phone when adding a participant, and they can work with private events at their venue. They do not get the full Customers list.
Location Staff and Location Admin can still manage events as before, with access to Bookings and the rest of their usual tools. For how events work in Alba, see How events works.
Account-wide vs per-venue access
Account Owner and Account Admin apply across every venue. Location Admin, Location Staff, Location Accountant, and Event Manager apply to the venue you choose. One person can hold more than one role, for example Location Staff at two venues, and their access adds up.
Changing or removing access
Use Edit role to change someone's role or venue. Use Remove to take away their access. Removing access does not delete their Alba account, it only removes their permissions for your account.
You cannot edit or remove the Account Owner from this list. To hand ownership to someone else, see How to transfer account ownership.
A good rule of thumb: give people the narrowest role that still lets them do their job.
